Progress steps have been created (refer to How to Manage the Versions) with differences on the WBS level. These progress steps must be compared with the reference estimate.
Column Mode
The sample Sample_Compare_Progress exemplifies this.
To insert into the Expanded WBS columns relating to the estimate, or to any existing or future progress step:
1.Select the Expanded WBS and click Administration>Field Manager
2.Click New Field>New field from expanded WBS
3.Double click in the Refer to field column and select the field whose values must be tracked
4.Double click in the Progress statement column and select
▪"Estimate" to display the value the field takes in each row of the reference estimate
▪or "–n" depending on the antecedence, with respect to the current version, of the progress step you want to display the values of
5.Validate; this inserts a column named respectively Estimate/<Field name> or Progress–n/<Field name>
6.To group the columns by Progress AND Cost/Selling price/... as in the sample Sample_Compare_Progress that comes with QDV7:
•Right click a column and select Properties;
•Suppress the formula providing the (parent) name of the column
•Click the button Default values and in the list select the object of the column Cost/Selling price/...
•Append to the formula &" Vs–n"
•Do not change the column identifier (WBS_<Field name>$1 for the estimate, WBS_<Field name>$_n for the –n progress) and validate
•Repeat the steps for each column to enroll in a group.
NOTES
- The fields proposed in the drop-down list correspond to the columns present in the Expanded WBS, whether standard or free
- In the Properties box, the column name does not show anymore.
To revert to the default name of a column, select the column header, right click and select Native column titles.
To take into account any name translation made in the Field Manager, select the column header, right click and select Native column titles (multilanguage); for native fields and free fields whose name has been translated via the multilanguage editor (refer to Multilingualism), this reverts to the default name of the column in the interface language according the formula =MULTILANG(...) shown in the formula box (and the column Properties).
To display the relative differences with respect to the reference estimate (column Diff/Est in the aforementioned sample):
1.Right click a column and select Insert a free column; this inserts a column on the left
2.Right click this column and select Properties; a dialog box shows
3.Check the box "Column has formula" and the button Show/Result of formula
4.Enter as column name the column objective Cost/Selling price/... followed with the antecedence –n (enter exactly the parent name of the columns to join)
5.Right click this column and, depending on the position with respect to the group to join, select Move columns left/right (as many times as needed to be integrated into the group)
6.Enter the column name, for example "Diff/Est"
7.Enter in a row R of this column C a formula such as =IF(CR<>0;(C'R-CR)/CR;"OK")
CAVEATS Changes such as shifting a task to Option or to Total mode, or links between tasks (see Links Between Tasks) make it impossible to compare two progress steps.
It is possible to link Quantities in the WBS tp progress.
Insert the following columns:
▪the standard column "WBS is a minute" (value: 1 for terminal element, i.e. task, 0 otherwise)
▪the "columns from Expanded WBS" Total selling price of estimate and Total selling price of version
▪a free column Progress = (Total selling price of estimate – Total selling price of version) / Total selling price of estimate
▪a free column Calculated Quantity (check the boxes "Column has formula" & "Return value to quantity column") = Quantity of estimate x Progress if WBS is a minute =1, = Quantity of estimate otherwise; refer also Events Management
As the box is checked, the column Quantity derives its values from a master free column (Calculated Quantity); this is similar to Defining Return Values.
NOTE If you check the box for several free columns, the latest is taken into account.
Alternative
Use Analytical Reports and invoke the Basic_Versions_Comparer report using the menu Analytics>View Reports.
Row Mode
Select a cell in a branch row or its total row, right click and select Show all versions. This opens a window featuring the synthetic row of the WBS for all the versions and progress statements.
Select a cell in a task row, right click and select Show all versions. This opens a window featuring the related row of the WBS for all the versions and progress statements.
Keep the window open and change the cell selection as needed.
